Travel & Visa Information for Japan

Visa Requirements

  • Attendees from certain countries may require a visa to enter Japan. We encourage all international participants to verify entry requirements well in advance.
  • Full visa information can be found by visiting the Ministry of Foreign Affairs website.

Arrival in Japan: Entry Process

  • To expedite your entry through customs, we recommend completing Japan’s Digital Immigration and Customs Form before departure. This form is available at www.vjw.digital.go.jp 
  • Once submitted, you will receive a QR code to present at customs upon arrival.

Airport Guidance

Whenever possible, we recommend flying into Haneda Airport (HND), which is significantly closer to central Tokyo and more convenient for ground transportation. While Narita International Airport (NRT) offers a greater number of direct international flights, it is located much farther from central Tokyo. Ground transportation can take between 90 minutes and 2.5 hours, and can be costly.

If you would like to avoid taking a taxi or public transportation, we highly recommend taking the Airport Limousine Bus

  • Cost is approximately 1400 yen – 3600 yen($10- $25 USD) each way
  • Provides direct drop-off to and from major hotels, including Hilton Tokyo
  • Avoids complicated train transfers and heavy station traffic
  • Tickets can be booked far in advance, or in the weeks prior to your travel.

Getting Around Tokyo: Local Metro Access

For those comfortable using public transit, Hilton Tokyo is conveniently located near two subway stations:

  • Nishi-Shinjuku Station (Tokyo Metro Marunouchi Line)
  • Tochomae Station (Toei Oedo Line)

To help our international faculty and delegates make the most of their time in Tokyo, we’ve compiled a list of culturally enriching activities located near the conference hotel. Many of these experiences are free of charge, easily accessible, and can be enjoyed before or after the scientific sessions. Whether you’re seeking a quiet moment in a historic shrine or a stroll through a traditional neighborhood, these nearby attractions offer a meaningful glimpse into Japanese culture without interfering with your conference schedule.

Tokyo Metropolitan Government Office (five-minute walk from Hilton Tokyo)

  • Hours: 9:30 to 22:00
  • Admission: Free
  • The 243 meter tall twin towers and surrounding buildings contain the offices and the assembly hall of the metropolitan government of Tokyo, as well as observatories on the 45th floor of each tower. On clear days, Mount Fuji can be seen from the North Tower and the South Tower views of downtown Tokyo are recommended in the evening.

Tokyo Projection Mapping on Government Office (five-minute walk from Hilton Tokyo)

  • Tokyo Night and Light is a series of digital art shows projected onto the Tokyo Metropolitan Government Building. These shows can be enjoyed free of charge every evening, making Shinjuku one of the best places to visit in Tokyo at night.
  • Various Shows run every 30 minutes in the evening, and each performance is 15 minutes in length.

Meiji Jingu (20-minute walk from Hilton Tokyo)

  • Meiji Jingū is a shrine dedicated to the deified spirits of Emperor Meiji and Empress Shoken. Located just beside Harajuku Station, Meiji Shrine and the adjacent Yoyogi Park make up a large forested area within the densely built-up city and offer paved and gravel walking paths.
  • November Hours: 6:10 – 16:10
  • Admission: Free

Shinjuku City – (shuttle ride from Hilton Tokyo)

  • Shinjuku (新宿) is one of Tokyo’s 23 city wards, though the name typically refers to the bustling entertainment, business, and shopping district surrounding Shinjuku Station. Shinjuku Station is the busiest railway hub in the world, with over two million passengers passing through daily. It’s connected by nearly a dozen railway and subway lines, making it a major gateway to explore the city.
  • Shuttle buses are available from Shinjuku Station to the hotel. 
  • Buses depart daily from bus stop #21 in front of Keio Department Store at Shinjuku Station west exit.

Park Hyatt Tokyo (six-minute walk)

  • This hotel has the famous New York Bar made famous from the movie 'Lost in Translation’.
  • Hotel is currently undergoing renovations and will reopen in October 2025.

Shinjuku Gyoen (26 minutes walking or 14 minutes on the metro.)

  • Hours: 9:00 to 18:00 (until 16:30 in winter, until 19:00 in summer)
  • Shinjuku Gyoen is one of Tokyo's largest and most pleasant parks. It was opened to the public in 1949, after it had served as a garden for the Imperial Family since 1903.
